Hyre is an online marketplace that directly connects event staff (bartenders,
servers, etc) with event organizers (event venues, caterers, event planners).
Our objective is to provide event staff and event organizers with a more efficient
alternative to the outdated, and often unfair, services offered by event staffing agencies.
There is no charge for creating a profile, booking a shift, or creating an event.
Lucky you! Once the event is completed, Hyre takes a minimal facilitation
fee in order to ensure that we can continue to help you, both event organizers
and event staff, KEEP MORE MONEY IN YOUR POCKET!
The rating system allows event organizers to rate the staff that have worked at their events. This ensures that staff have an incentive to perform at a high level because event organizers are more likely to hire staff who have been rated well at previous events. Staff are also rated by the shift supervisor to ensure that they are respectful towards each other and that they are able to work as a team.
Insurance for all event staff is provided through the Workplace Safety and Insurance Board (WSIB). In order to provide such a service, a deduction of the event staff’s wage will be applied.
Here at Hyre, we take our Zero Tolerance Policy very seriously. There is to be no alcohol, drugs, or engaging in any criminal or illegal activities on the part of our private contractors. If staff are suspected of engaging in any such activity, they will be banned from the platform immediately, charged for any damages, and not paid for the shifts they worked in which the inappropriate activities occurred. Event Organizers
One of the key value propositions is the money you will save by using our service. For instance,
at a large event such as a convention, with about 5,000 guests, there should be 200 event staff
(with a ratio of 25 guests: 1 event staff). This event would require staff to be working a minimum of 8 hours.
You would typically pay $22-$25/hour/staff from a staffing agency which would cost a total
of $35,200-$40,000. With hyrestaff.com, YOU choose the hourly wage you would like to pay the
staff. The average wage that event organizers would pay staff for events such as conventions with
the aforementioned details would be $18/hour/staff. This would cost a total of $28,800, and thus
saving you $6,400-$11,200 (or 18%-28%) for that event.
Once your profile has been approved, to create an event, all you have to do is input the event details,
the number of staff you need, how much you want to pay per staff, and voila! You’re ready to go. You can either
invite specific staff to your event or allow them to find you.
When you first start with Hyre, all you have to do is take 2 minutes to create your profile. Your profile will then be reviewed and once it is approved, you’ll be all set to start creating events!
Well, wouldn’t you be happier to be paid more? If event staff are making a higher wage, they are happier and are more motivated to perform at their best! Moreover, these wages are not arbitrary; staff only get paid what they deserve. The higher their skill level and their ratings, the more they can be paid. Their skills and performance are constantly monitored and wages are adjusted accordingly. With that said, you get higher quality staff when the staff are content with their working conditions.
To ensure we connect the right staff for each event, we ask every staff member to fill out a profile before they start taking shifts. The profile consists of past experience, resume, references, certifications, related skills, etc. The goal of the profile is to act as a short, online version of the resume.
Following every shift, organizers MUST rate staff’s performance at their event. After working 3 shifts, an overall rating is attributed to each staff and 'ratings' becomes a search criterion for event organizers. This method helps aggregate higher quality staff compared to staff hired through a typical staffing agency.
You, as an event organizer, have full access to the search parameters of staff, including positions, certifications, and performance reviews. In order to be able to create a profile with Hyre, staff must undergo a rigorous application process. Hyre approves their certifications (i.e. SmartServe certification in ON), resumes, and references. In contrast, staffing agencies' staff acceptance process is quite limited with under-qualified staff regularly being hired for events.
Because of the higher hourly rates, staff are not expecting tips and you are in no way required to tip
them. If you are really happy with their work and should you want to, by all means go ahead. We are sure they would appreciate it!
If the guests wish to tip it is, again, by no means required or expected, but the staff would appreciate it. Should
the guests give a lump sum amount to be divided among staff after the event, this amount should be added onto the
invoice and we will monitor its distribution to the staff along with their paycheck.
We recommend a ratio of 1 event staff for every 15-20 guests at your event. If you have any further questions or want more information, feel free to contact a Hyre representative!
Through our platform, the staff can provide a reason for their cancellation. You, as the event organizer have the option to approve or not approve this reason. Should you deem the reason invalid, the staff will be charged a cancellation fee. If the staff is a no-show, without giving a reason, the cancellation will automatically be charged. The goal of this fee is to work as a deterrent for staff to cancel last minute or not show up at all. After a cancellation, the platform will prompt you to choose whether you would like the position filled by an on-call staff or if you are okay moving forward with one less staff than originally anticipated.
If this is the case, we suggest broadening your search criteria a little bit. If you are seeking highly experienced staff with a 5-star rating and are offering to pay them $12/hour, you are unlikely to attract enough staff to cover your needs. If you only want 5-star staff, it's a good idea to pay a wage that differentiates you from other organizers.
Since Hyre is an online platform, you are free to create your event and list your staff requirements at any time you wish! With that said, we recommend that you create your staff list at least a week before your event starts in order to allow time for more staff to see the requirements and sign up to work your event.
The first time you create an event on our platform, you will be asked to enter your credit card details. This credit card is only charged after every event ends.
Prior to publishing your event, the estimated cost of staffing for your event is generated. Once you approve this estimate and publish your event, it is made public for eligible staff to pick up.
After the completion of your event, the finalized staffing cost is generated. The credit card on file will be processed for the full amount within 48 hours of the event.
If the event is cancelled more than a week before the scheduled date, then you must pay 20% of the booking fee for each filled shift. If the cancellation is within a week of the scheduled date then you will be required to pay the equivalent of staff 2 hours per staff booked. If the cancellation is within 48 hours of the event, you will be required to pay the equivalent of 4 hours per staff booked.
Yes! So everyone is happy! Currently, when you use staffing agencies to find, screen, hire, and pay event staff (i.e., servers, bartenders, etc.), you are charged a premium for this service usually around $25-$35/hour/staff. Of this, a typical server is paid just $15/hr and the agency pockets the rest.
Since hyrestaff.com is an online marketplace that connects you directly with event staff, it effectively cuts out the staffing agency entirely. This means that you are not paying that $10-$20 fee which is going simply to line the agency’s pocket. Our online platform allows event staff to earn higher wages while greatly reducing the costs for event organizers because our transaction fee is far less than that of the typical agency.
As an event organizer, you would go to the ‘Create’ tab in your user account and fill out the basic information of your event. Then you would start adding shifts to your staff list. Here, you would indicate the criteria required for the shift: position needed (i.e. waitstaff), quantity (i.e. 5 waitstaff), shift start and end time, budget/staff (i.e. maximum wage you are willing to pay), and the minimum Hyre rating you would like them to have. These criteria act as a filter so you can ensure that you are only hiring staff who meet your specific needs. You also have the option of making certain shifts Private (where you can invite specific staff to work certain shifts). Once you have finished selecting the shift criteria for each subset of shifts, you can publish the event and all the shifts will be made public to eligible staff.
A no-poaching clause exists ($1500) if you decide to employ a Hyre staff who was introduced to you via the Hyre platform. The clause expires if the staff has not worked for you through Hyre within a 6-month period.
Event Staff
At Hyre, we are looking for high quality staff to make events special and memorable. Prior to attending your
first shift, you are expected to watch, and be comfortable with the content of, Hyre’s mandatory orientation videos.
During your first shift, you will have a designated Supervisor who will go through an on the spot training checklist with
you. This is to ensure that you are aware of the tasks you could be assigned as an Hyre contractor and to give you an opportunity
to ask any questions you may have. Make sure you are ready to rock and roll!
We are always looking for high quality, hard working people. More specifically, we are looking for experienced people who can contribute to making an awesome event as a waitstaff, barstaff, chef assist, or a variety of other positions.
We ask all of our staff to arrive for their shift 15 minutes early, dressed and ready to work. When you arrive, your first priority will be to find your Supervisor. You will then sign-in using the Hyre app and the Supervisor will approve your sign in. If you are unable to access our mobile app, you will be asked to print a timesheet (prior to the event) that will require your Supervisor’s signature. The same process will be repeated when signing out. If a paper timesheet is used, you will be asked to email a picture of it upon the completion of your shift.
One of the wonderful things about Hyre is that there are no registration fees! Once your experience has been verified, you are free to pick up any open shifts that you are eligible for.
We do, however, ask all staff to provide a credit card number for your account. Your card will only be charged in the case of a last minute shift cancellation or a no-show. If you attend all your shifts or find people to cover your shift if you can’t make it, then you will NEVER be charged.
Replace your shift with another staff – who is not on the platform and that staff has to get 4/5 stars on that shift (email HR@Hyrestaff.com notifying them who you are replacing your shift with).
At this point in time, all payments will be made through direct deposit. Upon the creation of your account, you will be
asked to provide the appropriate banking information. Right now, we process all payments once a month, on the 15th. This means
that you will be paid for all your work during the month on the 15th of the next month. For example, all shifts you work in March
would be paid on the 15th of April. If you work a shift on April 8t, for example, that shift would be paid on the 15th of May, not April.
Say you scheduled to work coat check but they then realize they need an extra server. What happens?? A position
change during an event requires approval from both yourself and the event organizer. Once approval is given, you will
switch roles and begin to earn the wage for your new position. It is important to note that your wage will never decrease.
For example, let’s say your bartender wage is $18 and your server wage is $14. Should you switch to server for this shift,
you will continue to be paid $18/hour.
Staff working Hyre shifts should not expect tips. Never imply to a guest or client that a tip is expected.
By using Hyre you are already receiving a higher compensation for your work than you would receive through a staffing agency.
In the case where you are awesome and a guest offers a tip, feel free to accept. In some cases, guests will leave a lump
sum with the organizer to be divided among all the staff. Should this be the case, the amount will be added to your invoice
and you will see the tip amount added to your paycheck.
Staff are expected to arrive 15 minutes early (dressed and ready) to their shift. Signing in may take a few minutes and arriving on time will result in a late start time.
Arriving late affects the whole event. Guests are expecting everything to run on time and if a staff shows up late and unprepared, the whole event suffers. Showing up late to an event may result in a rating penalty and a late fee being deducted from pay (up to $50 - discretion is left to Hyre).
Upon signing up and creating your profile, just enter a city in the search bar to find shifts in that city. Once selected, you will see all the available shifts for which you are eligible. Eligibility is based on your ratings, approved positions (i.e. waitstaff, barstaff, etc.), experience, and availability. When you see a shift that you would like to work, simply click 'View Details', accept the shift and it will be added to your scheduled shifts.
In some cases you can be specifically invited to by an organizer to work their event. This can be based on the event organizer’s needs (which is why it’s important to keep updating your profile!) or if they have had a positive experience working with you previously.
Cancellations/no-shows are something that affect us all, event organizers, other staff, and Hyre. We believe that we have come up with a fair solution! Up until 48 hours prior to the shift, you may cancel your shift with no monetary penalty. Your ratings however will still suffer (i.e. even if you cancel outside of the 48 hour period).
Cancellation within 48 hours of the shift or no-show to a shift, fee: $200
If you are a No-show to a shift, you will be banned from Hyre.
If you can find a qualified replacement (i.e. an experienced staff that is NOT on Hyre) for your cancelled shift, then the fee may be waived. This replacement staff MUST perform well on the replacement shift (i.e. their rating must exceed 4/5 on the shift).
The replacement staff that you find MUST create a Hyre account and pick up the shift online in order to replace you. This new staff MUST be approved by Hyre HR prior to the shift.
Staff are expected to input their time of arrival, time of actual start, and end time on the timesheet provided on each shift. The times must be accurate and 100% true to ensure you are paid the hours you have worked.
Reporting incorrect or misleading times will result in the staff being permanently blocked from the platform and it may result in a partial or complete deduction from pay (discretion is left to Hyre).
There is a 2% maintenance fee for the service. This is taken out when payment is being processed. For instance, if you make a total of $50 for a shift, Hyre's maintenance fee would be $1 and $49 would be deposited into your account.
While seeking constructive criticism for the sake of professional development is encouraged, discussing specific ratings and comments with organizers is a violation of our Terms and Conditions.

If the cancellation is within 24 hours of the scheduled date, you will be paid 4 hours at your hourly rate unless a similar shift is offered to you (as a replacement shift).
If a shift is full and you would like to be on the waitlist, you can place yourself on on-call. If you do so, you must be available to go to the shift if you are called in (up until 1 hour after the shift starts). You will be rewarded for this with 5-star pay for that shift (we do not guarantee 5-star rating though).
Remember to keep your phone with you in case this happens.
Also, it is important to take yourself off on-call if you are no longer able to go to the shift (you must take yourself off on-call BEFORE you get called in). This is vital as organizers are relying on staff on the on-call list for various situations. Thus, if you do not take yourself off on-call and you get called in yet do not go, your reliability rating will be affected.
